01 - The problem

The method is right. The medium is the problem.

Springfield's workbook is not a bad system. It is a well-designed chain of custody that happens to be stored in the one format that cannot enforce, audit, or remind. Here is the review, tab by tab.

What the four tabs do today

51 columns across four sheets, joined by the label / invoice number. Every stage of the journey is there - which is precisely why moving it into a proper system is straightforward rather than disruptive.

Pet details

Owner, pet, breed, age, weight, microchip, cause of death, biological implications, collection or delivery, arrival and cold-storage timestamps

Works well

This is a genuinely strong intake record. Very few small crematoria capture microchip numbers and biological implications at all.

Exposure

Twenty-three columns wide means constant horizontal scrolling, and every timestamp is free text - there is nothing stopping an impossible date being typed.

Farewell viewing times, transfer out and back, fur clipping and paw print departments, total time out of cold storage

Works well

Total time out of cold storage is exactly the figure an inspector asks for.

Exposure

It is calculated by hand. When the two timestamps are typed as text, the total cannot be checked or trusted by anyone but the person who wrote it.

Cremation_Cremulation

Label verification, cremation start, peak and average temperature, total burn time, cooling, cremulation

Works well

Peak and average temperature per cremation is the core evidence of compliance with the 850 °C combustion standard.

Exposure

One reading per cremation, recorded after the fact. There is no cycle curve, no flag if a cycle ran cool, and no link to the cremator's own maintenance record.

Works well

Outstanding keepsakes are tracked - a common cause of complaints elsewhere.

Exposure

'Any outstanding keepsakes: No' is a dead field. Nothing chases it, nothing reports on it, and a blank row (SPC0203) looks identical to a finished one.

Six risks the format cannot remove

None of these are criticisms of how Springfield works. They are structural properties of a spreadsheet.

High

One editor at a time

A workbook cannot be safely open on two machines. While the office is updating an intake, the operator cannot record a cremation - so entries get written on paper and typed up later, which is where detail is lost.

Typos survive silently

SPC0205 records cold storage entry as 27/07/2025 when arrival was 27/04/2025 - three months of apparent cold storage. It is obviously a slip, but the file accepted it and nothing has flagged it since.

One case, four lookups

Answering a single owner's question - where is my pet, and when will the ashes be ready - means finding the same reference on four separate tabs and reading across 51 columns.

High

Nothing chases anything

Unpaid invoices, unfulfilled paw prints, review requests and follow-ups are all fields rather than tasks. SPC0203 has been sitting unpaid and unfinished since 30 April with nothing prompting it.

Critical

No version history or audit trail

A cell can be changed by anyone, at any time, with no record of who changed it or what it said before. For a business whose central promise is individual cremation, an unauditable record is the weakest possible evidence.

Personal data with no boundary

Every owner's name, address, phone number and email sits in one file that gets copied, emailed and backed up to wherever it lands. Under UK GDPR that is a hard position to defend, and there is no retention rule attached to it.

The specific worked example

Row SPC0205 - Lulu

Three months in cold storage

Collected from Willows Veterinary Centre on 27 April 2025 at 12:15. Arrival at the crematorium 12:45. Into cold storage:

27/07/2025 @ 12:45 hrs

It is plainly a keystroke - 07 for 04 - and the cremation on 28 April proves it. But consider what that single cell does:

  • · It makes the cold-storage duration for that case impossible to report on.
  • · It appears in any date-sorted view as a July case.
  • · If an inspector reads it literally, the record shows a pet cremated three months before it entered storage - an unexplainable break in the chain of custody.
  • · Sixteen months later, nothing in the file has noticed. It was found by reading the sheet by eye for this proposal.

A system that knows a cold-storage timestamp must fall after arrival and before cremation rejects this on entry. That is the whole argument in one cell.
