Springfield already records more detail than most crematoria in the country. The problem is not the method - it is that the method lives in a workbook that cannot enforce a date, chase an unpaid invoice, or prove who did what. This proposal replaces the workbook with one shared system, and this site includes a working demonstration of it built on your own records.

The case in one paragraph

You are running a regulated, licensed facility on a file that anyone can overwrite without trace.

Springfield holds Defra permit U1444639 and cremates individually - never communally. That promise is the business. Defending it means being able to show, for any pet, an unbroken and unalterable line from the moment of collection to the moment the ashes went home: who collected, which label, which chamber, which temperature, who verified, who handed over.

A workbook cannot do that. It has no history, no ownership of an entry, no rule that a cold-storage timestamp must fall after arrival. It also cannot chase the paw print that has not been made or the invoice that has not been paid - both of which are sitting unresolved in the sample you sent.

Everything else in this proposal - the CRM, the keepsake stock, the vet portal - is upside. The compliance trail is the reason to do it.

Cold storage recorded as 27/07/2025 for a pet that arrived on 27 April and was cremated on 28 April. A single keystroke that makes the record self-contradictory - and it is still there.

Ashes into the Amberley heart on 28 April, collected 30 April - then the row stops. Invoice paid, payment method, keepsake transferred and outstanding keepsakes are all blank. Nothing has chased it since.
